To be able to monitor actual performance efficiently, it is imperative that the company establishes a robust system of management information systems reports (MIS Reports) for all levels of management and staff as necessary and designed according to their decision making needs – for e.g. a machine operator in a manufacturing operation gets report say on a weekly basis describing hours machine worked, times and the cost of repairs of breakdowns and time lost (in cost and hours), production volume and the capacity utilization – all compared with the set standards. His supervisor should get this same report with comments by the machine operator for all significant variations.
Similarly Sales, Marketing and Business Development heads should get reports on sales by products, by territories with the comments of the sales manager and marketing manager explaining variance from budgets and targets.
A company having such an MIS in place is unlikely to overlook any underperformance in any area of business for longer time and duration and will thus be able to take corrective measures well in time.
Our Contribution in the Process
We will review the business operation in manufacturing, sales, marketing, HR, finance, sales and distribution and the company’s organization structure covering the entire business activities.
As a result of the review we will first identify all the positions within the process framework from a junior manager to the CEO and the BOD, their responsibilities, authorities and the accountabilities and then for each such position we will design a management information system report, which will provide them the data for their area of responsibilities and accountabilities.
We will help the IT, finance and /or other functions to ensure that such reports are available from the system as frequently as may be required.
We will train the people to understand the reports, analyze the variances between the actual and targets, submit the same to their supervisor with their comments and work on the solutions to be implemented ASAP avoiding such variations in future.
